Regional Support Service Officer

Job Summary

The Regional Support Services Officer is responsible for providing administrative, purchasing and customer service support to the vessel business. The role involves processing orders, preparing purchasing and delivery documentation, coordinating with vessel personnel and ensuring that goods and services are accurately recorded, billed and delivered on time.

Key Responsibilities

• Receive and process orders in a timely manner.
• Assist with preparing purchase orders for items purchased for the vessel business.
• Verify items purchased for vessels and ensure they are correctly coded and billed.
• Prepare delivery notes and other relevant documentation.
• Investigate client complaints and work toward timely resolutions.
• Liaise with vessel captains regarding service delivery, queries and other operational matters.
• Assist with ensuring that all port passes are valid and up to date.
• Ensure customs and delivery protocols are followed at loading facilities when dispatching goods and services.
• Identify suitable substitutions for items that are unavailable or out of stock.
• Communicate with the relevant personnel aboard ships and rigs.
• Assist with keeping vessel price lists accurate and current.
• Ensure internal invoices are updated and emailed to vessels on time.
• Perform any other related duties as required.

Position Requirements

• Five CSEC passes, including Mathematics and English Language.
• One to two years’ work experience in chandlery services, procurement and/or shipping.
• Proficiency in Microsoft Office, particularly Microsoft Excel.
• Knowledge of the food industry would be desirable.
• Working knowledge of Microsoft Dynamics Great Plains (GP) would be an asset.
• Strong written and verbal communication skills.
• Ability to work effectively in a fast-paced environment.
• Detail-oriented with a strong customer-service focus.
• Willingness and flexibility to work on weekends when required.
