Administrative Assistant
We are currently seeking a highly organized, professional, and proactive Administrative Assistant.
This role provides critical administrative and HR support to the Plant Manager and Human Resources Business Partner while ensuring smooth daily operations at the facility.
Key Responsibilities
Administrative Support
- Manage visitor reception and plant access professionally and courteously.
- Perform daily administrative duties including data entry, filing, document preparation, PowerPoint presentations, and office coordination.
- Maintain accurate records management systems and ensure compliance with document retention policies.
- Coordinate meetings, training sessions, company events, and conference room scheduling.
- Prepare meeting minutes and distribute finalized versions promptly.
- Support internal communications and dissemination of employee notices.
- Assist with reports, presentations, and departmental administrative needs.
- Manage office supplies, stationery, and front desk office equipment.
Human Resources Support
- Coordinate recruitment logistics, interviews, onboarding, and background checks.
- Maintain employee leave tracking databases and manpower reports.
- Assist with training coordination and employee orientation activities.
- Maintain job application databases and respond to applicants in a timely manner.
- Support company-sponsored employee engagement initiatives and events.
- Respond to routine HR queries and escalate sensitive matters appropriately.
Technical & Compliance Support
- Participate in root cause analysis investigations when required.
- Coordinate annual medical and safety-related appointments.
- Complete mandatory safety and soft skills training.
- Ensure compliance with company policies, safety procedures, and sustainability initiatives.
Qualifications & Experience
Education
- Diploma or Degree in Business Administration
- Five (5) CSEC subjects including Mathematics and English
Experience
- Minimum 2–5 years’ experience in a manufacturing, engineering, or oil & gas environment
- Knowledge of HR principles and practices is considered an asset
Skills & Competencies
- Strong proficiency in Microsoft Office Suite, especially Excel and PowerPoint
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities
- Professional interpersonal and administrative skills
- High level of integrity, confidentiality, and trustworthiness
- Valid Driver’s License required
