Inventory Controller
Summary
To implement and oversee the Finished Goods inventory processes; monitoring and
controlling inventory levels, customizing inventory control procedures, coordinating
staff, providing reports and making recommendations for improvements.
Location: The position will be based at Guyana head office.
Dimensions: The Inventory Controller will report directly to the Inventory and Production Manager.
Responsibilities:
1. Inventory Management
a) Direct and coordinate inventory levels for the distribution and marketing activities of the organization.
b) Assist in the review and establishment of policies and procedures for inventory management with marketing or production groups.
c) Compile and maintain records of quantity, type and value of supplies stocked in the warehouse.
d) Analyse various data extracted from management reporting systems. Prepare and maintain reports and inventory data.
e) Review inventory service levels on a continuous basis. Review processing schedules and production orders to determine staffing requirements, work procedures, and duty assignments.
f) Ensure the warehouse is adequately stocked with lines of finished products to satisfy the current and projected needs of all customers.
g) Analyse and correct inventory count discrepancies. Oversee disposition of excess or obsolete inventory. Develop policy for reducing and controlling inventory.
h) Assist the Procurement Officer with investigating shipping error root-causes with vendors or customers, and provide formal report on corrective action to be implemented.
i) Support the organisation’s goals to ensure that inventory levels are maintained
while ensuring full compliance on all company policies, procedures, and applicable laws.
j) Plan and execute accurate stock counts at financial year end and periodically during the year, as per finance procedures.
k) Verify clerical computations against physical stock count and adjust errors in computation or count and investigate and report reasons for discrepancies.
2. Inventory Control
a) Coordinate inventory control programs.
b) Ensure that accurate controls and procedures are in place to properly implement stock checks.
c) Maintain inventory controls by managing all inventory databases; perform cycle counts, perform physical inventories checks that are correct and timely and track expiration dates.
d) Monitor and control the movement of stock and ensure that variances in physical stock are within acceptable limits.
e) Ensure compliance with established procedures and maintain effective internal control over the physical stock flow.
f) Take all reasonable steps to ensure the security of inventory within the warehouse.
3. Order Processing
a) Receive and record customer’s requests and specifications.
b) Inform customer of information, such as unit price, shipping date, anticipated delay, and additional information needed.
c) Prepare invoices and shipping documents.
d) Route or relay orders to specified department or business unit to prepare and ship orders to designated locations.
e) Confer with production, sales, procurement to expedite or trace merchandise or delayed shipments
f) Review orders for completeness according to reporting procedures and forward incomplete orders for further processing.
g) File copies of orders received or post order on records.
h) Calculate and compile statistics and prepare reports for management.
i) Check inventory control to determine availability of merchandise and notify department of order that would deplete stock.
j) Recommend type of packaging or labelling needed on order.
4. Distribution / Delivery
a) Oversee the loading of all inventories on to the delivery vehicles.
b) Effectively and efficiently deploy delivery vehicles and support staff.
c) Responsible for all inventory loaded on to the delivery vehicles.
d) Oversee the loading and off loading of containers.
5. Exports
a) Responsible for the timely review of the SOP Tool to determine export quantities, schedule and coordinate the timely execution of exports and prepare the necessary documentation as per the relevant procedures.
b) Ensure stock is properly packaged for shipping and that the container is properly sealed.
6. Reports
a) Prepare and maintain relevant reports pertaining to inventory planning process.
b) Report and communicate forecast and inventory measurements to management.
7. Financial & Managements Reporting
a) The preparation of reports and preliminary budget estimates.
b) Provide monthly Management Accounts and supporting Business Performance reports and constant monitoring of business unit targets against actuals.
8. Maintenance and Safety Health & Environment (SHE)
a) Coordinate and recommend procedures for facility and equipment maintenance or modification. Report faulty equipment and maintenance requirements to the Production/Maintenance department.
b) Ensure all SHE policies are observed and persons operate within the guidelines of local regulations for Occupational Health and Safety. Personal Protective Equipment must be provided and used.
c) Receive and provide safety and compliance training in warehouse, distribution, and transportation operations.
9. People Management
a) Actively supervise the day-to-day operations and performance of inventory staff, which include planning and assigning tasks, performance appraisals rewarding and disciplining employees; addressing complaints and resolving problems.
b) Receive and provide safety and compliance training in warehouse, distribution, and transportation operations.
c) Ensure a high degree of customer satisfaction through directing staff activities to meet this expectation.
d) Ensure staff operates in compliance with all company policies and maintain a high level of security.
e) Keep up with general knowledge of industry standards, company policies, and procedures.
f) Maintain the highest degree of confidentiality regarding the functioning and performance of the Company.
g) Adhere to all company policies, procedures and Code of Conduct and ensure that they are communicated and implemented within the team.
h) Any other duties that may be assigned from time to time.
Qualifications / Experience
1. An Associate degree or Diploma in Business Management,
or related area along with at least four (4) years experience in Inventory Management.

2. A Bachelor’s Degree in Business Management, or related area along with at least three (3) years of experience in Inventory Management.
Skills, Competencies and Requirements
1. Knowledge of inventory control and related record keeping systems.
2. Excellent interpersonal and communications skills (written and oral).
3. Ability to work independently and highly organized.
4. Ability to manage and follow through with multiple projects.
5. Strong knowledge of Microsoft Office applications.
6. Ability to regularly lift and/or move up to 50 pounds, frequently lift
and/or move up to 100 pounds, and occasionally lift and/or move more than
100 pounds.
