Senior Administrative Executive

Reporting Responsibilities: Reports to Management

Supervisory Responsibilities: Supervises Junior HR & Marketing Executive and Finance & Admin Executive


Overall Responsibilities:

Provides comprehensive oversight of administrative, HR, finance, and operational functions across the Group. Ensures compliance, accuracy, and efficiency. Supervises and rechecks the work of the junior HR & Marketing Executive and Finance & Admin Executive.

Duties (include but not limited to):

  1. Supervision & Oversight
  • Review and verify all tasks performed by Junior HR & Marketing Executive and Finance & Admin Executive.
  • Ensure accuracy, compliance, and efficiency in outputs, and provide training and guidance when necessary.
  1. Accounting
  • Review and file VAT returns.
  • Arrange bank reports and documents
  • Review postings in QuickBooks, prepare management reports, and address external accountant queries.
  • Bank updates/reconciliations
  • Verify all payrolls reports before payments issued.
  1. Inventory & Operations
  • Oversee all shipments process
  • Review and process all inventory adjustments
  • Verify and approve gift vouchers

  1. Any other task assigned from time to time in all functions of the Administrative Department of Urban Group of Companies.

Job Requirements/Specifications

Education:

  • At least five (5) subjects CXC, inclusive of Grades 1 to 2 in Mathematics and English.
  • Degree in Business Administration, Accounting, Finance, and/or Human Resource Management
  • Competency in MS Office and databases.

Experience: At least one (1) year experience in similar position.

  • Attention to detail and Strong Problem-Solving Skills
  • Ability to work independently and without constant supervision
  • Time Management Skills and ability to prioritize work
  • Strong Organizational skills with ability to multi-task
  • Excellent knowledge of Excel Spreadsheets & word processing tools (MS Excel, Word)
  • Basic Understanding of databases
  • Working knowledge of office equipment, computer hardware & Peripheral devices
  • Good Oral and Written Communication Skills
