Receptionist / Messenger
Position Summary
The Receptionist/Messenger is responsible for providing front office reception services and internal/external messenger support. The position serves as the first point of contact for visitors and callers while ensuring the secure, efficient handling of correspondence, documents, and routine deliveries in accordance with embassy protocols and confidentiality requirements.
Key Responsibilities
Reception Duties
Serve as the first point of contact for embassy visitors, ensuring professional, courteous, and diplomatic reception at all times.
Answer, screen, and direct incoming telephone calls and inquiries appropriately.
Maintain the visitor log, issue visitor passes where required, and notify embassy staff of arrivals.
Manage appointment schedules and coordinate visitor access in line with security procedures.
Receive and distribute incoming mail, packages, and diplomatic correspondence.
Maintain a clean, orderly, and professional reception area.
Messenger / Administrative Support Duties
Deliver and collect documents, mail, and packages to and from government offices, ministries, courier services, banks, and other official locations.
Assist with filing, photocopying, scanning, and basic clerical tasks.
Support administrative staff with routine office errands and logistical tasks.
Ensure sensitive documents are handled securely and confidentially.
Maintain records of deliveries and collections as required.
Assist with office setup for meetings, official events, and visits.
Required Qualifications & Skills
Completion of secondary education (minimum).
Prior experience in reception, customer service, or messenger duties is an asset.
Ability to communicate clearly and professionally, both verbally and in writing.
Strong interpersonal skills with the ability to interact tactfully with diplomats, government officials, and the public.
High level of discretion, integrity, and confidentiality.
Good organizational and time management skills.
Ability to work independently and as part of a team.
Basic computer literacy (email, telephone systems, office equipment).
Valid driver’s license (if required for messenger duties).

Working Conditions
Fulltime position with standard office hours.
